A faster Schedula

Latest

1.23.0 · 3 November 2026

Schedula was rebuilt on a faster foundation: pages open sooner and every screen has its own address. This release also rounds out a batch of smaller requests from managers and staff.

  • Improved

Pages open faster, and every screen has its own address

Schedule, Attendance, Reports and the rest each have their own link now, so you can bookmark a screen, share it, or use your browser’s back button the way you would expect.

  • Improved

The iPhone home-screen app keeps you signed in

If you added Schedula to your iPhone’s home screen, reopening it no longer sends you back to the sign-in page.

  • New

    The Schedula website in French

The public site, including pricing, help and the legal pages, now has a French version at schedula.ca/fr.

  • NewManagers

    Export Reports as a spreadsheet

Reports has an Export CSV button next to the PDF. It uses the same columns you picked, and amounts come out as plain numbers your spreadsheet can add up.

  • NewManagers

    Payroll export for one employee

The payroll export can now be run for a single employee instead of the whole team.

  • NewManagers

Report someone sick on their behalf

When someone calls in sick, a manager can record it for them from Time Off / Vacation by choosing who is sick, so the schedule shows it right away.

  • ImprovedStaff

Overtime requests are easier to send

Once your shift is close to the overtime threshold, the request button stays available, and you can send the request straight from the notification.

  • Improved

Announcements opened from the bell count as read

Opening an announcement from the notification bell now marks it read, so the manager’s read count matches who has actually seen it.

  • Changed

The kiosk says when it is offline

A kiosk tablet needs an internet connection to check PINs. When it loses the connection, it now says so and asks people to punch from the app on their phone instead.

  • Changed

New passwords need 12 characters everywhere

Resetting a forgotten password now asks for at least 12 characters, the same as signing up or changing it from your profile.

  • Improved

Evening entries stay on the right day

Shifts and time off created late in the evening could be saved on the following day. They now stay on the day you picked.

  • ImprovedManagers

Former employees stay out of the add-time list

When adding time in Attendance, the employee list only shows people who are still active.

Seats you go over, billed automatically

1.22.0 · 31 August 2026

Going over your plan's included seats has always been allowed and never charged for automatically — the overage was worked out by hand. Schedula now bills it for you: one invoice a month, covering that month's highest seat count.

  • NewManagers

    Seat overage is billed automatically

Once a day Schedula records your workspace's highest active-seat count. When the calendar month ends, that high-water mark closes out to a single invoice charged to the card on file, covering the whole month at once. Nothing is prorated, and because the count is sampled daily, a seat added and removed the same day is not captured.

  • ChangedManagers

The overage banner is no longer just a projection

The banner and the one-time notice you get on crossing your included seats used to say the amount was informational and would be invoiced by hand. It is now what you will actually be charged, and the copy says so.

  • ImprovedManagers

Adding staff past your allotment still never blocks you

Unchanged, and worth repeating: hiring past your included seats is never refused. Starter includes 25 seats then $2.50 CAD each, Growth includes 75 then $1.70 CAD each, Scale includes 200 with no per-seat rate. Rates are set so the crossover lands on the next tier's price — around 45 seats on Starter, 105 on Growth — and the banner tells you when upgrading has become the cheaper option.

  • ChangedManagers

    Payments move to Stripe

Checkout, plan changes, invoices and the billing portal now run on Stripe. Prices, plans and what you are charged are unchanged. If a payment fails, Schedula still gives you three days to fix the card before the workspace goes read-only, and the reminder comes from Schedula rather than from two places at once.

Forgotten punches, closed sooner

1.21.0 · 28 August 2026

A shift nobody clocked out of used to sit open for a full day. It now closes after twelve hours, you pick the number, and anything Schedula closed on its own is marked for you to check.

  • Changed

    A forgotten clock-out closes after 12 hours, not 24

Someone who forgets to clock out used to stay on the clock for a full day before Schedula stepped in. That is now twelve hours, so the mistake reaches you while the day is still fresh enough to fix.

  • NewManagers

    Set your own limit

Settings → General → Attendance now has a Max open shift (hours) box, anywhere from 1 to 48. Sites that run long shifts can raise it; somewhere that never runs past eight hours can bring it down.

  • NewManagers

Auto-closed shifts are flagged for review

When Schedula ends a shift itself because nobody clocked out, the entry carries an Auto-closed badge in Attendance and appears under Needs Review. The hours on it are an estimate, not something anyone recorded — the badge is there so you correct them before payroll rather than after.

  • Improved

Clocking in after your shift was due to end

Punch in late enough that your shift has already finished on paper, and Schedula no longer treats it as a shift with no end at all. You get the length that shift was scheduled for, counted from when you actually started.

  • ImprovedManagers

Owner alerts name the real reason a shift closed

The notification an owner gets when Schedula ends a shift now says which rule ended it — the scheduled end, the grace period after it, or the hour limit. Some of these used to be reported as though every shift had ended on schedule.

Files, reactions and read receipts

1.20.0 · 25 August 2026

Chat could already carry a conversation. Now it carries files, any emoji you like, and proof that a message was actually read.

  • New

    Send files in a message

Attach up to 5 photos or documents to any message, 10 MB each. A caption is optional, so a photo on its own is a complete message. Deleting a message deletes its files with it — there is no way to keep an attachment once the message is gone.

  • New

    React with any emoji

Every message has a smiley button beneath it that opens a full emoji picker — search by name or browse the categories. Press a reaction again to take it back. When several people pick the same emoji it collects into one pill with a count.

  • New

    Read receipts

Open a thread and it is marked read; the sender sees "Seen" under their message, with a name in a direct message or a count in a group. A conversation left open in a background tab is not marked read until you come back to it.

  • Changed

Read receipts are visible to the whole thread, and cannot be switched off

Everyone in a conversation can see who has read a message, not only the person who sent it, and there is currently no setting to turn that off. Worth telling your team before they notice it themselves.

Your shifts, in your calendar

1.19.0 · 24 August 2026

Your published shifts can now appear in the calendar app you already use, and keep themselves up to date.

  • New

Subscribe to your shifts from any calendar app

Open your profile and press "Create sync link", then paste it into Google Calendar, Apple Calendar or Outlook. Your shifts show up there and refresh on their own. Everyone creates their own link — there is nothing for an administrator to switch on, and it works on every plan.

  • New

Reset the link if you share it by mistake

The link is the only thing proving who you are, so anyone holding it can read your shifts. "Reset link" in your profile kills the old one immediately; you then re-subscribe on each device.

  • Changed

Google Calendar is slow to catch up, and that is normal

Google re-reads a subscribed link on its own schedule, often only every few hours, and offers no refresh button. A shift published now can take most of a day to appear there. Apple Calendar lets you choose the interval, which is the quickest way to see a change land.

  • Changed

A feed only ever contains your own published shifts

Never anyone else’s, and drafts stay out of it until they are published. Removing someone from the workspace switches their feed off, and it stays off even if they are invited back later.

One tablet, every punch

1.18.0 · 23 August 2026

A shared tablet by the door can now be the time clock, so nobody needs their own phone to punch in.

  • NewManagers

Kiosk mode on a shared tablet

A manager pairs a tablet once from Settings → Kiosk. The tablet then shows the staff list with no login of its own — staff tap their name, choose clock in or out, and enter their 6-digit PIN.

  • NewManagers

    Staff PINs

Set or clear someone’s PIN from Settings → Team. Nobody can read a PIN back afterwards — not a manager, not an owner, not support. Repeated wrong attempts lock that person out on every tablet, not just the one they were standing at.

  • ChangedManagers

Unpairing a tablet takes effect immediately

A tablet you remove from Settings → Kiosk stops working on its very next tap, with no grace period. A paired tablet can only punch — it cannot see schedules or pay.

  • Improved

Kiosk punches behave like every other punch

Breaks and overtime requests work the same way, and the entry is marked as having come from a kiosk so it is recognisable on timesheets and payroll. A kiosk needs a connection to punch: PINs are checked by the server, so it does not queue punches offline the way the phone app does.

Right person, right shift

1.17.0 · 23 August 2026

Job roles became something the schedule can actually enforce, instead of a label sitting next to a name.

  • NewManagers

    Positions

Bartender, Cook, Host — real roles you manage in Settings → Team, and one person can hold several. Your existing job titles were kept and turned into positions automatically; nothing was renamed or lost.

  • New

Open shifts go to the people qualified for them

Give a shift a required position and only staff who hold it are notified and able to bid. A shift with no position works exactly as before, open to everyone.

  • NewManagers

First come, first served open shifts

A new awarding mode where the first qualified bid wins automatically. Manager-picks stays the default, so nothing changed for existing workspaces.

  • ImprovedManagersScale+

    Auto-scheduling respects positions

It leaves a shift open rather than filling it with someone who does not hold the required position. A manager can still assign whoever they like — covering a gap or training someone in is normal, so it is a heads-up, never a block.

  • ImprovedManagers

Announcements and surveys can target a position

Not just a role — you can now reach "the bartenders" rather than only "the managers".

High fives

1.16.0 · 22 August 2026

A way to say thanks to a teammate that the rest of the team can see.

  • New

    Send kudos to a teammate

A short message plus an emoji, sent from the staff roster, public or private. You cannot send one to yourself. Public kudos appear newest-first in a feed everyone can read; private ones never appear there for anyone, including owners — the recipient is notified exactly the same either way.

  • NewManagers

A "Most Recognised" line on Reports

Counts public kudos only, over the last 30 days, so it cannot be inflated with private ones nobody can verify. It disappears entirely when nobody has been recognised in the window.

  • Changed

Anyone can delete their own kudos; managers can delete any

That is how a barbed one gets removed. An unrelated staff member cannot.

  • New

Included on every plan, Starter upwards

Recognition is something a team does with each other, not administrative tooling a business buys, so it is deliberately not gated.

Ask your team

1.15.0 · 22 August 2026

Ask everyone a question and get the answers back in one place.

  • NewManagersGrowth+

    Internal surveys

Free-text, 1–5 scale, and multiple-choice questions, up to 25 per survey, sent to everyone or to specific roles. Each person answers exactly once.

  • NewManagers

    Anonymous surveys

An anonymous response is never linked back to who sent it, and results stay hidden until at least 3 people have replied. This protects against everyone using Schedula — it does not protect against someone with direct access to the database, and the composer says so plainly the moment you switch it on.

  • ChangedManagers

Questions lock once a survey opens

Editing them afterwards would make answers already given meaningless. A closed survey cannot be reopened — ask again with a new one.

  • ChangedManagers

    Managers see totals, not individuals

Averages and distributions for scale questions, counts per option for choice questions, and free-text answers shuffled rather than shown in the order they arrived.

  • New

    Answering is never gated

A survey opened while on Growth stays answerable if the plan later lapses, and results always stay readable.

Sign here

1.14.0 · 22 August 2026

Documents you can prove someone read and accepted.

  • NewManagersGrowth+

    Send a document for sign-off

Any document already shared with an employee can be sent for signature. A managers-only document cannot be — share it with the person first; sending never quietly shares it for you.

  • NewStaff

Sign by typing your full name

It is checked against the name on file. A mismatch is refused with a clear message and nothing is recorded. A correct signature is final — nobody can re-sign, edit or delete it, including the manager who sent it and the workspace owner.

  • NewManagers

See who has signed, and remind who has not

A per-document list with names and timestamps, plus a reminder to everyone still pending, limited to once every 6 hours.

  • Changed

A signature is pinned to the exact file that was signed

Replacing the document afterwards never rewrites what an earlier signature says the person agreed to.

Everyone on file

1.13.0 · 22 August 2026

The paperwork side of employing someone, kept in the same place as their schedule.

  • NewManagersGrowth+

    HR profiles

Emergency contact, address, date of birth and employee number for each person, editable by managers.

  • NewManagers

    Employee documents

Upload contracts, certifications and policies against a person, each marked either visible to managers only or shared with the employee.

  • ChangedStaff

Staff see only their own shared documents

A managers-only document is completely invisible to the person it is about — including any hint that it exists.

  • NewManagers

    Expiry reminders

Give a document an expiry date and managers are reminded before it lapses. Renewing the date lets it warn again next time.

  • Changed

If the plan lapses, records stay readable

Only adding and editing stops. Nothing is hidden or deleted.

Talk to your team

1.12.0 · 22 August 2026

Messaging inside Schedula, so work conversations stop living in a personal group chat.

  • New

    Direct messages and group chats

Between anyone in your organization, delivered live with no refresh. The badge on the Messages tab counts conversations waiting on you, not individual messages.

  • New

    Push notifications for messages

With their own on/off switch in your notification preferences.

  • NewManagers

Staff-to-staff messaging can be switched off

A whole-organization setting. When it is off, staff can still message managers, and conversations that already exist stay readable.

  • Changed

Managers cannot read conversations they are not part of

There is no admin view of other people’s messages.

  • Changed

You can delete your own messages, and only your own

A placeholder stays behind so the conversation still reads in order. Nobody else can delete them for you.

Say it to the right people

1.11.0 · 21 August 2026

Announcements stopped being all-or-nothing broadcasts.

  • NewManagers

Target an announcement at specific roles

Instead of always going to the whole organization. Every post carries a chip showing who else received it.

  • NewManagers

See who has read an announcement

"Read by 8 of 12" — counted against the people it was actually sent to, not against total headcount.

  • New

    Comments on announcements

Anyone can remove their own; managers can remove any, and a removed comment leaves a visible placeholder rather than quietly reshaping the thread. Comments can be switched off for the whole organization, and existing ones stay readable when they are.

Checked off

1.10.0 · 21 August 2026

A shift can now carry the list of things that need doing during it.

  • NewManagers

    Task lists on a shift

Up to 25 tasks per shift. Save one on a shift preset or a template and every shift created from it starts with the same list.

  • NewStaff

Tick tasks off from the clock panel

While the shift is running — and it works offline, queuing like a clock-in and replaying when you are back on signal without duplicating anything.

  • NewManagers

Completion shows on the shift card

A ratio such as "2/3" in the Scheduler and in the Attendance day view.

  • ChangedManagers

Reassigning a shift resets its ticks but keeps the list

The new person starts fresh. Editing anything else — time, location, notes — leaves completed tasks alone.

  • Changed

Invisible if you do not use it

A shift with no tasks shows no checklist anywhere.

Confirmed, seen, sorted

1.9.0 · 21 August 2026

Knowing a schedule was published is not the same as knowing anyone saw it.

  • NewStaff

Confirm you have seen a new shift

From a banner on the schedule or on the dashboard.

  • NewManagers

An unconfirmed count, and one reminder

Managers see how many shifts are still unconfirmed and can nudge everyone still pending. Reminders are limited to once every 6 hours per shift, so a double-click cannot spam the team.

  • ChangedManagers

Editing a shift clears its confirmation

Changing the date, time, location, type or assignee asks for confirmation again. Editing the notes does not.

  • ImprovedManagers

Shifts belonging to removed staff no longer sit unconfirmed forever

They drop out of the count instead of inflating it indefinitely.

  • New

    A "Shift confirmations" notification preference

Switch these off for yourself if you do not want them.

Vacation you can count on

1.8.0 · 19 August 2026

Leave balances that track themselves, instead of a spreadsheet nobody quite trusts.

  • NewManagersGrowth+

    Time bank policies

Set them up in Settings → Attendance → Time Banks. A policy can accrue a fixed amount once a year on a date you choose, or minutes earned per hour worked, or nothing at all. New workspaces start with a Vacation and a Sick policy, both manual only.

  • New

    Balances where you already look

On Availability for the person they belong to, and in the Staff Roster for managers. A time-off request can be charged against one.

  • ChangedManagers

Balances started at zero — nothing was backdated

Time off approved before this release is not in anyone’s balance. Set an opening balance with a manual adjustment from the Staff Roster; it leaves a record of who set it and why, which a balance that simply appeared would not.

  • New

Every change is a line in a ledger

Accruals, approved requests, cancellations, manual adjustments, banked overtime, carryover forfeitures — each with the minutes, the reason and who did it. Nothing rewrites a balance silently.

  • NewManagers

Bank approved overtime instead of paying it

Pick the policy it banks into and approved overtime becomes time off rather than money. Those minutes leave the payroll export entirely, so nobody is paid for hours they are also holding as leave.

Nights and weekends, priced in

1.7.0 · 19 August 2026

If you pay more for nights, weekends or holidays, Schedula now works that out instead of you.

  • NewManagersGrowth+

    Wage premiums

Add them in Settings → Attendance → Wage Premiums. A premium says when it applies — a time window (22:00 to 06:00 wraps past midnight), certain days of the week, or specific dates for statutory holidays — and what it is worth: a multiplier, or a flat amount per hour on top of the normal rate.

  • ChangedManagers

    Overlapping premiums never stack

A minute of work earns exactly one premium — the best-paying rule for that person at their own hourly rate. The same two rules can genuinely resolve differently for two people on the same shift, because a multiplier is worth more to a higher earner than a flat top-up is.

  • ChangedManagers

The payroll export gained two columns

Premium Hours and Premium Pay, just before Gross Pay, and Gross Pay now includes them. If you load that file into a spreadsheet or payroll system by column position, remap it before your next run.

Timesheets you can pay from

1.6.0 · 19 August 2026

Schedula could already tell you what everyone worked. This turned that into something you can hand to payroll.

  • NewManagersGrowth+

    A Payroll tab

Step through your pay periods, approve the timesheets in one, lock it so the numbers stop moving, and export a spreadsheet with regular hours, overtime, breaks, hourly rate and gross pay for each person, plus a total row.

  • NewManagers

    Four pay period cadences

Weekly, biweekly (the default), semimonthly (1st–15th and 16th to month end), or monthly, counted from a start date you pick.

  • NewManagers

    Optional punch rounding

To 5, 10 or 15 minutes — nearest, up, or down — applied to each person’s period total. The punches themselves are never changed, so switching rounding off puts the original numbers straight back.

  • NewManagers

    Locking a pay period

Stops anyone below owner editing a time entry in it, in Payroll or in Attendance. An owner can still fix a missed punch and it is recorded. Unlocking is owner-only.

  • ChangedManagers

Overtime is separated, not marked up

Approved overtime gets its own column at the same hourly rate. Schedula has no overtime multiplier, so those hours are split out to be visible rather than silently priced.

Know when someone doesn’t show

1.5.0 · 19 August 2026

Schedula already knew who failed to show up, but only afterwards. This moved it to while the shift is happening.

  • NewGrowth+

    Late and no-show alerts

When a published shift passes its start time with nobody clocked in, managers get a notification — and so does the employee on the first one, because most missed punches are a forgotten clock-in and the nudge usually fixes it before anyone has to chase. A second, later alert marks it a no-show and goes to managers only.

  • ChangedManagers

Off until you turn it on

An owner or admin enables it under Settings → Attendance and picks the two thresholds — late after 10 minutes, no-show after 30, by default. Nothing is sent about shifts that were already over when you switched it on.

  • NewManagers

    Exception badges on timesheets

Entries whose punches disagree with the schedule carry a badge — Late in, Early out, No clock-out, Long break — and a "Needs review" filter narrows the list to flagged entries nobody has approved yet. The filter carries through to the exports.

  • New

You can switch these off for yourself

The Attendance Alerts toggle in your profile’s notification settings.

Seats that grow with you

1.3.0 · 16 August 2026

Hitting your staff limit no longer stops you hiring.

  • ChangedManagers

Staff limits became included seats, not hard caps

Every plan includes a number of seats, and adding staff past that number is never blocked. Extra seats carry a small per-seat rate instead of forcing an upgrade — Starter includes 25, Growth 75, Scale 200.

  • NewManagers

A notice when you cross your included seats

Showing the projected monthly cost. It does not charge anything automatically; any overage is invoiced directly.

  • ImprovedManagers

Upgrading is flagged when it becomes the cheaper option

Overage rates are set so the crossover lands on the next tier’s price — around 45 seats on Starter, around 105 on Growth — and the banner says so when you get there.

  • ChangedManagers

Your seat count may have looked higher afterwards

This release corrected how seats were counted — owners and some longer-standing members had been left out of the total. Nobody was added, removed or charged; the number shown now is the accurate one.

More in every plan

1.2.0 · 16 August 2026

Several features unlocked earlier. Nothing was taken away from any tier, and no prices changed.

  • ChangedStarter+

Conflict and overtime checks now start on Starter

Double-booking and overtime warnings in the scheduler, previously higher up.

  • ChangedStarter+

The time clock and timesheets now start on Starter

Clocking in and out, breaks, and the Attendance tab.

  • ChangedStarter+

The analytics dashboard now starts on Starter

Scheduled hours, labour cost and coverage at a glance.

  • ChangedGrowth+

Advanced reporting moved down to Growth

It used to need Scale. GPS and photo verification stayed on Growth.

Simpler plans

1.1.0 · 16 August 2026

One fewer thing to think about: there is no free tier to manage any more.

  • RemovedManagers

    The free plan was retired

Workspaces on it moved to a free 30-day trial of Growth, with every Growth feature unlocked. All data stayed intact and nothing was lost.

  • ChangedManagers

New workspaces start on a 30-day trial

Pick a plan in Settings → Billing before it ends to keep editing the schedule. Your data stays put either way.

  • ChangedStaff

    Nothing changed for staff

Staff accounts are managed by the organization — there is no billing to think about and nothing to do.

Draft & publish

1.0.0 · 11 August 2026

The first numbered release. It changed how a schedule reaches your team, and added several faster ways to build a week.

  • ChangedManagers

Every new shift now starts as a draft

Staff do not see a shift until you publish the week — whether you created it by hand, with quick-create, by copying to another week, from a template, or with auto-scheduling. Drafts show a dashed border and a Draft badge, and only managers and up can see them at all.

  • NewManagers

Publish a whole week in one action

An "n unpublished" chip sits next to the week picker, and Publish week (n) flips every draft in the week you are looking at. Publishing is what notifies staff, sends the week’s schedule email and broadcasts any open shifts. Editing an already-published shift still notifies as before — only drafts are silent.

  • NewManagers

    Quick shift creation

Click an empty cell on the schedule grid and a small popover opens with the person and date already filled in — a bottom sheet on mobile. Set the times, press Create, done. "More options…" hands off to the full form, carrying over what you have typed.

  • NewManagers

Shift presets and "Same as last"

Save a shift you build often — "Bar close 18:00–02:00" — and it becomes a one-click chip. "Same as last" prefills a person’s most recent shift.

  • NewManagers

Keyboard shortcuts on the schedule grid

N for a new shift at the focused cell, arrow keys to move around, Enter to open, Esc to back out, and ? for the full list. They stay out of the way while you are typing.

  • NewManagers

    Bulk shift operations

A Select mode in the schedule toolbar with Delete, Assign to…, Copy to week… and Move to week…. Copy and Move keep the same weekdays in the target week.

  • NewManagers

CSV staff import and roster bulk actions

Import up to 200 staff per file with automatic column mapping and a preview that flags bad rows before anything is created; everyone imported is emailed an invitation. Select-all across your current filters, then deactivate, change job title, or change hourly rate in one go.

  • NewManagers

A dashboard that points at what needs doing

Pending time-off requests, unassigned shifts this week and schedule conflicts, each linking straight to where it gets fixed — with an All clear state when there is nothing. The KPI cards became clickable too.

  • Removed

    The "Ask Schedula" assistant
